Virtual Private Assistant (VPA)
The Virtual Private Assistant (VPA) was designed for Extensions who need to call from their cell phones with the Business Caller ID and who do not have the capability to use our Mobile App.
This feature gives the Extension three options:
- Make an outbound call using the Business Caller ID; or
- Access their Voicemail; or
- Continue through to the Business phone number
How Does VPA Work?
If you need the Virtual Private Assistant to be set up for an Extension, just contact us. We will place the employee's cell phone number on their User/Extension.
- Once added, whenever that cell phone number calls your Business Number, we will present them with their three options.
- VPA is not a customer-facing feature. Outside Callers will not be presented with any of these options.
- Only Extensions who have requested that this feature be added will be presented with these options when they call the Business Number.
What Will the Extension Hear When They Call?
Once added, whenever the employee calls your Business, we will present them with their three options.
Option 1
Allows them to place an outbound call from their personal cell phone using the Business caller ID.
- Press ‘1’ to place an outbound call.
- Enter the Extension's access code. This is the same as the Voicemail PIN. Then press #.
- Dial the number that the Extension needs to call, and the call will initiate.
Option 2
Allows them to call their Voicemail remotely to check for messages.
- Press ‘2’ to access the Extension's Voicemail.
- Enter the Extension's access code. This is the same as the Voicemail PIN. Then press #.
- They will now hear the Voicemail menu.
Option 3
Allows them to call through to the office as normal. Their actual cell phone number will appear as the Caller ID.
- Press ‘3’ to call through to the office; bypassing the Virtual Personal Assistant.
- They will be connected to the office.
What About Alternate Options?
Virtual Private Assistant was created to assist employees who are on-the-go in poor cellular/Wi-Fi/data areas and/or do not have the capability to use the Mobile App.
VPA is just one option!
- If cellular signal is available and data/Wi-Fi is low, you can try the Mobile App in an alternate configuration, such as: outbound calling set to cellular and inbound calling set to their cell phone with press one confirmation. Go here for more information: Mobile App Optimization
- We also have our Clarity Cellular option, which allows both inbound and outbound business calling on their cell phone by using a second SIM card.
