How to Access Your Voicemail Messages




Voicemail

Voicemail allows you the freedom to receive a message if you are unavailable to take a live call. 

  1. Voicemails may be accessed from our Mobile App, Web Phone, your physical desk phone, or Portal, making managing your messages a snap!  

  2. We can even send a copy of your Voicemail to your email and/or as a text to your cell phone with or without Voicemail Transcription



Accessing Voicemail Messages from Portal

  1. Click on the Messages button.

    1. If you have a Manager permission level and are currently in your Manager View, click your Profile Name in the top right, then choose Messages


  2. Either way that it is accessed, you will automatically be on the first Tab of Messages, which is Voicemail.  Within the Voicemail Tab, you can access the NewSaved, and Trash folders by using the dropdown menu.
    1. You will automatically be on the "New" Folder view.   All new Voicemails will be available to access here. 


  3. Highlight the Voicemail, and all options will appear on the right.  From the New folder, each new Voicemail is available to:
      
    1. Play
    2. Forward to another extension
    3. Download
    4. Save (move to the Saved folder)
    5. Delete


      

Accessing Voicemail Messages from Web Phone

  1. If you use our Web Phone through Portal (or downloaded as PWA), you can access your Messages in the Web Phone app, without returning back to the Portal screen.   Simply click the Voicemail message icon. 


  2. New Voicemails will appear here by default. 
    1. If you would like to access the Saved Folder, just click the dropdown beside Voicemail


  3. If your View is currently expanded or you are using the downloaded Web Phone (PWA), you will see Voicemails on the side menu. 


  4. You will have the same options as you do in the Portal window. You may:
    1. Play
    2. Forward to another extension
    3. Download
    4. Save (move to the Saved folder)
    5. Delete



Accessing Voicemail Messages from Your Desk Phone

You will need your Voicemail PIN code when accessing Voicemail from your phone. 

Instructions
  1. Whether you have a Polycom or Yealink, each has its own Voicemail message indicator.   You may also have a red, blinking indicator light. 
    1. Depending on the model, you may have both a physical message icon and a "soft" message icon on the screen itself. 


  2. You can also access Voicemail using a "star code". Simply dial "*97" from your device.  

  3. Any way that it is accessed on the physical phone, you will receive the prompt to enter your PIN code, and then you may listen to your messages.   You may:
    1. Play
    2. Forward to another extension
    3. Download
    4. Save (move to the Saved folder)
    5. Delete



Accessing Voicemail Messages from the Mobile App

  1. Login to the Clarity Office Anywhere (COA) Mobile App with your Portal credentials. 
    1. If you have not yet downloaded the Mobile App, go here for instructions:  Clarity Office Anywhere Mobile App.

  2. Click the Voicemail messages icon. 


  3. Enter your PIN code, and you will now be able to: 
    1. Play
    2. Forward to another extension
    3. Download
    4. Save (move to the Saved folder)
    5. Delete
